General Membership Meeting Minutes

Saturday, October 5, 2024 

Agenda

  • Roll call:   Attending:  22 members,  started 11:03 am, ended 11:40 am
  • Previous minutes:  10-17-2023:  
  • Presidents report:
    1. Picnic update:   Success.  Thank you to all volunteers, the beach baskets donations and the attendees.  Nicole’s dad did a great job with the pulled pork!!       Profit was just over  $800.00 (note:  this is a few hundred dollars less the past 5 years).  We may want to consider a price increase or accept this level of profit.
    2. Beach cleanup:  Had about 15-20 people attend; went very well.
    3. Pizza party: did not occur in 2024
    4. Beach upkeep and updates for 2024:  
  • Bulkhead installed!
  • Water testing:  we had another great year; passed every week
  • Apparel sale via website; profit ~ $40
      1. Beach rentals:   had 6 private events; went well, no issues
      2. Sand was delivered and spread
      3. Signs were installed
      4. Repairs made to the pirate ship
    1. Volunteers:  WE NEED ADDITIONAL PEOPLE to help for 2025:
      1. Picnic committee:  need people for organizing, cooking, baskets, door etc.
      2. Tree lighting event (12-6-2024): Colette will be in charge Greg P. will put up the lights 
      3. Pizza parties:  need people for organizing
      4. Easter egg hunt: need people to help Nicole with the event
      5. Halloween event:  need people to help Nicole with the event
      6. Movie night on the beach: need people for organizing in 2025
  • By-laws: no changes needed: updated in 2024
  1. Webpage:   Jodi and Ashley need access to make changes:  Colette to contact website Joe.
  2. Membership:   goal was 300:  had 333!!   (anticipate 2025 will be 300 plus members)
  3. Movie nights:  didn’t have any; need to schedule for 2025
  • Treasurer’s report:

Balance is ~ $13,450

2024 expenses through Sept 12, 2024 were $82,980, including the upgrades

Bulkhead costs were  $ 67,170

2025 expenses projected to be ~ $10,000.00, without any upgrades.

      2. Bills are all paid as noted in the treasurer’s report

  2. Membership committee:  membership is growing as noted in III 8. above
  3. Audit committee:  Had accountant audit in Nov 2019; all good, reviewed and balanced

Looking for committee positions for 2026 and beyond

  • VOTING RESULTS 2025 positions:  

All nominees were voted in for 2025 positions

  • UPDATES (both old and new business):
  1. Security cameras:  Need to get a new system
  2. Playground upgrade:   committee to form (Jodi will be coordinating a committee, Ryan will help with getting a quote for the new playground equipment)

-Discuss Donations/Possible Fundraiser 

  1. Christmas tree:  December 6 (FRIDAY):   Colette to organize 

-(Greg P will put the lights on our tree)

    1. Christmas party:   NOT for 2024; too late to plan; look at 2025
    2. Halloween event 2024:  need a plan and people to organize
    3. Welcome bags:  continue the practice as its been received well
    4. Beach cleanup (2025):    May 3, 2025  will need  to publish on FB, website and email in spring
    5. Beach pizza party (2025); June   2025   tentative, may change (do a 50/50?)
    6. Beach picnic (2025);  July 19 , 2025  
    7. Boat parade:  (2025)  (tentative)
    8. Christmas decoration house judging:  for December 2024
    9. Food drive will be organized:  at Beach.  Nov xx, 2024:  donations to Brick Presbyterian Church food pantry
    10. Beach water testing in 2025  will continue
    11. Snow fence for winter to hold sand inside fence.  Chuck has a plan, will work on this in October 2024
    12. Membership dues increase to $90.00 for 2025
  • 2024 dues were $85.00
  • 2025 dues will be  $90.00 per family
    1. CQCA voted, during the October 2022 annual meeting,  to have a plan that will increase dues $5/year, starting in 2024 to get to $100/year before 2028 and then freeze for 5 years. (this will offset rising costs)    2026=$95.00 2027=$100
  1. NOTE: All CQCA communications will be via email, website or FacebookNo additional mailings will occur using USPS as costs are too prohibitive.  The revised By-laws state this information.
  2. OC health Department requirements:  need a new lock for dock box
  3. Ship repairs:   732 294 7700  OR 732 495 8866 for new canopy and possibly refinish the wood. 
  4. Working on getting Venmo and Zelle as additional ways to make payments
  5. No additional new business
